We are seeking a highly organized and proactive Executive Assistant to provide
comprehensive administrative support to our executives. The successful
candidate will be a critical partner in managing the daily operations and workflow
of the executive office. This role requires a combination of strong organizational
skills, attention to detail, discretion, and effective communication.
Key Responsibilities:
Schedule and coordinate appointments, meetings, and travel
arrangements for executives.
Prioritize and manage multiple calendars efficiently, ensuring optimal use
of executive's time.
Serve as the primary point of contact for internal and external
stakeholders.
Draft, proofread, and edit correspondence, emails, and other documents.
Handle phone calls, inquiries, and requests, directing them appropriately.
Prepare agendas and materials for meetings.
Attend and document key meeting outcomes, distribute minutes, and
follow up on action items.
Arrange domestic and international travel, including flights,
accommodation, and ground transportation.
Prepare detailed itineraries and provide travel support as needed.
Conduct research, compile data, and prepare reports as requested.
Manage expense reports and reimbursement processes.
Coordinate special projects and events as required.
Handle sensitive information with the utmost discretion and maintain
confidentiality.
Prioritize and manage multiple tasks simultaneously, ensuring deadlines
are met.
Anticipate the needs of executives and proactively address them.
Collaborate with other administrative staff to provide seamless support to
the executive team.
Build and maintain positive relationships with internal and external
stakeholders.
Qualifications:
Proven experience as an Executive Assistant or in a similar role.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Proficient in MS Office Suite and other relevant software.
Ability to handle confidential information with discretion.
Exceptional attention to detail and accuracy.
Flexibility to adapt to changing priorities and work independently.
Education and Experience:
Bachelor's degree preferred.
Previous experience supporting C-level executives is an advantage.
